GDPR : Current situation of eCOS® platforms and action plan

Types of recorded personal information

eCOS® users : lastname, firstname, email, username, role, user’s permissions, address.

Providers, Logisticians, Contacts Places of delivery: lastname, firstname, phone (x2), fax (x2), email, address, comments.

Demonstrators : open field contact.

Orderline contacts: name, phone, fax, email, address.

Our commitment in regards of GDPR : do not store personal data useless to the smooth running of eCOS ® platforms.
All the fields containing personal data in products eCOS ® are used by at least one of our customers.
The number of compulsory data is minimal: only are compulsory the data essential to the smooth running of eCOS ®.

Access and storage

The data of our customers are stored in France in Cloud Azure of Microsoft and do not go out of the European Union.

The persons in charge tools of our customers (BackOffice administrators) can access the data of their users in quite autonomy. 

We can supply at any time, on simple request for the customer service, the exhaustive current situation of the personal information protected on eCOS® platforms of the customer. 

The personal data of the eCOS ® users are not passed on in Third parties without the express agreement of our customers. They are only shared with their Third parties receiving approval of their request.

Personal data

Within the policies of the RGPD, we guarantee the autonomy of the persons in charge of eCOS® in the creation, the modification and the deletion of the personal data for which they beforehand collected the consent. 

A user or an interlocutor who does not agree to the use of its personal data in the eCOS® platform will not be created in eCOS ® system by the person in charge of the software. A user or an interlocutor who does not agree any more to their use can be deleted by the person in charge of the software.

Externis Consultants and the Externis Support Service, can assist the person in charge of the software for any mass action.

Externis backup

Data to be deleted our platforms must prior be backed-up.

Our commitment, within the policies of the GDPR, is that the information deleted from eCOS® remains stored in Externis backup during a maximal duration which we fixed to 3 years. Beyond this duration, the information will not be recoverable any more.

Data security

A plan of strengthening the passwords is in progress: our customers were consulted. They will be free to use the following parameters: frequency of modification, constraints of creation, blocking by conditional access.
